Who documents mental health care in Houston
Houston is one of the largest and most diverse metro areas in the country, and its mental health workforce reflects that. Licensed psychologists, LPCs, LCSWs and LMFTs work in solo and group private practices from the Heights to Sugar Land and The Woodlands, in hospital systems and community mental health centers, in school districts, and in practices that serve veterans, first responders and families displaced by storms. Many clinicians move between settings in the same week: a few days of therapy in private practice, a contract for assessments, some telehealth evenings.
Each of those settings asks for different paperwork. A group practice wants consistent progress notes that support billing. A forensic or disability evaluator writes long narrative reports from records and interviews. A therapist seeing bilingual families keeps track of who said what, in which language, and whether an interpreter was present. The common thread is time: notes and reports are written after the session, often late in the day, when the details are hardest to recall.
My Clinical Writer started here. Our team is based in north Houston, and the product was shaped by a practicing Houston clinical psychologist who wanted reports that read the way he writes them, without spending evenings on the first draft.
How it fits a Houston practice
You choose how to give the AI the session material, and you stay the author of the record:
Record
Record the session or a short spoken summary after it, in the browser or on your phone between appointments.
Type or upload
Type bullet points, or upload intake forms, prior records and handwritten pages for evaluations.
Draft in your template
The AI drafts the note or report in your own template: SOAP, DAP, BIRP or a full evaluation layout.
Review and finish
Edit, then copy to your EHR or save as a Word document. Nothing is final until you approve it.
Texas rules your templates should reflect
The AI does not know which rules apply to your license or your payers; your templates do. A few Texas points worth building in, stated generally, so check the current text before relying on them:
- Licensing board. Psychologists, professional counselors, social workers and marriage and family therapists in Texas are regulated through the Texas Behavioral Health Executive Council. Its rules cover record content, retention and release, and they are the source to check.
- State privacy law. Texas has its own medical records privacy law in addition to HIPAA, including training expectations for staff who handle protected health information. Your organization's privacy officer can tell you what it requires of you.
- Record retention. Board rules set minimum retention periods for adult and minor clients, and payers and employers may require longer. Keep finished notes in your EHR or record system; My Clinical Writer is a drafting tool, not your record of care.
- Payer expectations. Texas Medicaid managed care plans and commercial payers each publish their own documentation requirements. Put the elements they ask for, such as medical necessity, interventions and progress toward goals, into your template so every draft includes them.
Evaluations, veterans and long reports
Houston has a large veteran population and a major VA medical center, and many local psychologists write disability, forensic and psychoeducational evaluations. These reports pull together records, interviews and test results into a long narrative. With My Clinical Writer you upload the source documents, add your interview notes, and receive a draft organized in your own report template. You verify every fact against the source, write or revise the opinions, and sign the report. See VA disability mental health evaluations and the psychiatric evaluation template for more.
The AI drafts. You decide.
My Clinical Writer writes a first draft from what you record, type or upload. You review it, edit anything that does not match your clinical judgment, and only then sign or export it. The assessment, the diagnosis and the plan are always yours, and you remain responsible for the final record.
Patient data is protected as described on our security and HIPAA page: 256-bit encryption in transit and at rest, role-based access, audit trails, and a Business Associate Agreement that every account accepts at registration.
Questions, answered.
Is My Clinical Writer a Houston company?
Yes. My Clinical Writer is made by Smart Clinical Solutions LLC, based in north Houston, and one of its co-founders is a licensed clinical psychologist practicing in Houston. You can read about the team on the team page.
Does it know Texas documentation rules?
The AI drafts from your session material and your templates; it does not decide what Texas requires. Build the elements your board, payers and organization expect into your templates, and check current rules with the Texas Behavioral Health Executive Council.
Can I draft notes for sessions held in Spanish?
You can record or type session material and ask for the note in English. Review translated content carefully, since nuance can be lost, and keep any interpreter details your organization requires.
Can I use it for evaluations as well as weekly notes?
Yes. Upload records, intake forms or handwritten pages, add your interview notes, and the AI drafts the report in your evaluation template. You review every section and are responsible for the findings and opinions.
Is client information secure?
My Clinical Writer is HIPAA and PHIPA compliant, with 256-bit encryption in transit and at rest, access controls and audit trails. Every account accepts our Business Associate Agreement at registration. See the security page.
