What this video covers

The narration of the video, chapter by chapter. Any draft shown is a starting point that the clinician reviews and edits before it is used.

Welcome

Welcome to Smart Scan. It turns images and PDF documents into editable text using AI — so a scanned intake form or a handwritten note becomes usable text in seconds. Let us walk through it.

Upload options

You have two ways to start. Upload Images which accepts photos or screenshots — up to five files, ten megabytes each. Upload PDF which accepts a single PDF document up to twenty-five megabytes. We will upload an image of a progress note.

Extracting the text

Once you choose a file, Smart Scan sends it to the AI, which reads the document and extracts the text. This usually takes a few seconds, and the result appears in your Scan Results list below.

Search your scans

As your scans add up, the search box finds any of them by the text inside — so a phrase you remember from a document is all you need to locate it.

Review and fix the text

Open any result to review it. OCR is very accurate, but you can edit the extracted text here to fix any mistakes, and rename the file so it is easy to find later.

Send it to Smart Draft

Here is the powerful part: click Export to Smart Draft, and the extracted text is sent straight into Smart Draft, ready to become a full clinical report. You can also copy the text or download it as a Word document.

Wrap up

That is Smart Scan: upload an image or PDF, get clean editable text, and send it on to a report. No more retyping documents by hand.

The AI drafts. You decide.

My Clinical Writer writes a first draft from what you record, type or upload. You review it, edit anything that does not match your clinical judgment, and only then sign or export it. The assessment, the diagnosis and the plan are always yours, and you remain responsible for the final record.

Patient data is protected as described on our security and HIPAA page: 256-bit encryption in transit and at rest, role-based access, audit trails, and a Business Associate Agreement that every account accepts at registration.
